Position: Administrative Assistant

Background:
The School of Public Health (SPH) at Addis Ababa University has initiated efforts to strengthen capacity by training trainers, programmers, and policymakers to address public health concerns, innovate behavioral interventions, and integrate behavioral insights into research and design. The objective is to tackle complex behavioral issues and improve health outcomes in Ethiopia and the wider region.
The Behavioral Health Sciences Unit of the SPH, in collaboration with UNICEF Ethiopia, is establishing and strengthening the Behavioral Health Insights Research and Design (BIRD) Lab. This lab will coordinate innovative behavioral interventions through capacity building, real-time evidence generation, innovative programming, solution development, monitoring, evaluation, and policy influence.
To achieve the BIRD Lab’s comprehensive objectives, the Behavioral Health Sciences Unit seeks to engage dedicated individual for administrative assistant position:
Scope of Work:
The BIRD administrative assistant will report to the BIRD Lab manager and will be responsible for the following:
Administrative Assistant
An Administrative Assistant is responsible for providing variety of tasks for BIRD Lab.
Key Responsibilities:
- Administrative Support:
- Assist in organizing and maintaining office documents, files, and schedules.
- Answer phone calls, take messages, and direct inquiries as needed.
- Assist assigned person with organizing meetings, conferences, and office events.
- Messenger Duties:
- Deliver documents, packages, and materials to various destinations promptly and accurately.
- Collect and return documents, packages, or items as needed.
- Maintain a delivery log to track all items delivered and collected.
- Ensure the safe handling and transport of sensitive materials.
- Office Cleanliness:
- Regularly inspect and maintain the cleanliness of the office spaces, including the BIRD Lab.
- Ensure that common areas are kept neat and organized.
- Assist with managing office supplies, keeping track of inventory, and restocking when necessary.
- Ensure the office environment is professional and welcoming for employees and visitors.
- General Tasks:
- Perform errands such as going to the post office or running office-related tasks as needed.
- Assist with managing incoming and outgoing mail and packages.
- Perform other office-related duties as assigned to support the overall operation of the office.
- Undertake other such duties as may be reasonably required by the Lab.
Qualification
BA Degree by Accounting & Finance, Economics, Business Administration, and social science related fields with at least 2 year experience.
Work Environment:
- Duty Station: Addis Ababa University, School of Public Health, Seferselam Campus.
- Employment Type: Full-time, contractual (6 months with possible extension).
