Position: Logistics and Inventory Controller
1. Job Summary
The Logistics and Inventory Controller at East African National Distribution SC, a subsidiary of East African Holding SC, is responsible for managing inbound coal supply and outbound cement dispatch operations at the Lemi Satellite Dispatch Office. This role ensures accurate stock handling, system-based inventory control, and proper coordination of customer deliveries. The position is critical in maintaining balanced logistics flows, resolving customer balance issues, and supporting efficient cement distribution and coal reception processes in collaboration with plant, transport, sales, and finance teams.
2. Job Purpose
To oversee the timely and accurate receipt of coal from suppliers and the efficient dispatch of cement to customers. The Logistics and Inventory Controller ensures stock accuracy, proper documentation, ERP entry, and effective handling of customer clearance and payment coordination — in line with EAND operational procedures and performance standards.
3. Main Duties and Responsibilities
A. Inventory Management
- Receive cement stock from the plant with complete documentation and proper quality check.
- Implement First-In-First-Out (FIFO) and other inventory control mechanisms.
- Maintain daily inventory records using both ERP and manual registers.
- Monitor stock levels and buffer stock, and share periodic reports with the Logistics Coordinator.
- Coordinate physical stock counts and report discrepancies timely.
B. Dispatch Coordination
- Coordinate truck loading/unloading activities and prepare dispatch documents (e.g., waybills, delivery notes, return slips).
- Reconcile dispatch records with Lemi Cement Plant weighbridge data.
- Ensure dispatch schedule adherence and communicate any delays or bottlenecks.
- Work closely with the Transport team to allocate trucks as per delivery plan.
C. Customer Balance & Clearance Coordination
- Verify customer payment status (prepaid, credit limit, or overdue) before authorizing dispatch.
- Communicate with Finance and Sales teams on customer balance issues and dispatch holds.
- Track unresolved balance-related dispatch delays and escalate repeated cases.
- Maintain and update daily customer clearance and balance tracking sheets.
- Resolve customer payment-related disputes in collaboration with the Regional Sales and Commercial teams.
D. Documentation & Reporting
- Ensure accurate and complete documentation for all inventory movements and dispatches.
- Maintain organized physical and digital filing of dispatch and inventory records.
- Generate regular reports: Daily Dispatch, Stock Movement, Pending Dispatch due to Balance Issues, and Deadstock Reports.
E. Compliance and Coordination
- Adhere to EAND’s operational policies, SOPs, and audit requirements.
- Participate in system improvement initiatives related to inventory and dispatch.
- Maintain warehouse cleanliness, safety, and orderly arrangement.
- Support ERP entry and validation for warehouse transactions.
- Liaise with plant, transport, and commercial teams to support smooth flow of dispatch operations.
F. Other Responsibilities
- Represent the logistics unit professionally with external stakeholders, transporters, and customers when required.
- Provide support during audits, reviews, or physical inspections.
- Execute other logistics and inventory-related duties as assigned by the Dispatch Office Coordinator.
Educational Qualifications:
- Degree or MA in Logistics, Supply Chain, Business Administration, or a related field.
Experience:
- Minimum 5 years of relevant experience in inventory and logistics, preferably in the construction materials or FMCG sectors.
- Experience in handling dispatch, inventory systems, and ERP tools is essential.
- Prior exposure to customer balance reconciliation or financial clearance coordination is highly desirable.
Technical & Behavioral Competencies:
- Strong organizational and coordination skills.
- Solid knowledge of Microsoft Excel and ERP software.
- Understanding of inventory control principles (FIFO, LIFO).
- Effective communicator with cross-functional teams.
- Proactive, detail-oriented, and committed to timelines.
- High ethical standards and integrity in managing customer-related information.
