Position: Procurement Officer
The Procurement Officer is responsible for sourcing, purchasing, and managing the supply of food ingredients, beverages, kitchen equipment, and other restaurant essentials. The role ensures cost-effective procurement while maintaining quality, supplier relationships, and compliance with company policies. The Procurement Officer works closely with chefs, restaurant managers, and suppliers to ensure timely and efficient procurement operations.
- Identify and procure quality food ingredients, beverages, kitchen supplies, and restaurant equipment.
- Source and evaluate suppliers to ensure competitive pricing and reliability.
- Obtain quotations, negotiate prices, and issue purchase orders.
- Monitor inventory levels to ensure sufficient stock while minimizing waste and overstocking.
- Work with kitchen and restaurant staff to forecast demand and adjust procurement plans accordingly.
- Conduct regular stock audits to track usage and prevent shortages.
- Develop and maintain strong relationships with suppliers and vendors.
- Monitor supplier performance based on product quality, timely delivery, and pricing consistency.
- Handle supplier issues, such as delays, quality concerns, or contract disputes.
- Ensure cost-effective procurement while maintaining quality standards.
- Analyze pricing trends and suggest cost-saving measures.
- Work within the allocated budget and track spending on procurement activities.
- Ensure procurement processes comply with food safety regulations and company policies.
- Maintain accurate records of purchases, supplier agreements, and inventory reports.
- Prepare reports on procurement performance and cost efficiency.
- Coordinate with kitchen staff, restaurant managers, and finance teams to align procurement with business needs.
- Communicate any supply chain challenges and provide timely solutions.
- Work with logistics and warehouse teams to ensure smooth delivery and storage of purchased items.
Head, Store keeper
- Receive and inspect deliveries of food, beverages, supplies, and equipment to ensure quality and accuracy.
- Properly store goods in designated areas, following FIFO (first in, first out) principles to maintain freshness and minimize waste.
- Maintain accurate inventory records using manual or computerized systems, including recording quantities received and issued.
- Monitor inventory levels and reorder supplies as needed to ensure adequate stock levels and prevent shortages.
- Coordinate with suppliers to place orders, negotiate prices, and track delivery schedules. Conduct regular stock counts and reconcile discrepancies between physical counts and inventory records.
- Assist in the preparation of purchase orders and invoices, ensuring proper documentation and authorization.
- Handle and store hazardous materials according to safety guidelines and regulations.
- Keep storage areas clean, organized, and free from hazards to ensure a safe working environment.
- Assist in the organization and execution of inventory audits and inspections as required. Collaborate with kitchen staff and management to forecast demand and plan menu items based on inventory levels and availability.
- Monitor food and beverage consumption trends to identify opportunities for cost savings and efficiency improvements.
- Implement and enforce inventory control procedures to minimize shrinkage and loss.
- Train and supervise storekeeping staff, providing guidance on proper procedures and best practices.
- Perform other duties as assigned by management to support the efficient operation of the café and restaurant.
- Collaborate with the kitchen and restaurant management team to develop and update standard operating procedures (SOPs) for inventory management, including receiving, storage. and issuance processes.
- Conduct regular inspections of storage areas to ensure compliance with food safety regulations and cleanliness standards.
- Coordinate with the accounting department to reconcile inventory records with financial statements and resolve any discrepancies.
- Support special events and promotions by coordinating additional inventory requirements and ensuring adequate stock levels
- Perform related tasks as per the cost controller/Restaurant manager’s request.
